How to Prepare for Wholesale Orders: MOQ, Pricing, Packaging, and Lead Time

A wholesale buyer needs more than an attractive product. They need predictable terms that can be evaluated against demand, logistics, and cash flow. Suppliers that define minimum order quantity, pricing, packaging, and lead time before promotion can answer inquiries faster and negotiate with greater confidence.

Set a realistic minimum order quantity

MOQ should reflect production economics, packaging quantities, and logistics—not an arbitrary round number. Consider a smaller trial order for new buyers if it remains commercially viable. State whether MOQ applies per product, variant, carton, pallet, or total order.

Build pricing from full costs

Include raw materials, labor, packaging, quality control, storage, finance, sales support, and an appropriate margin. Keep currency and quotation validity clear. Separate the product price from shipping, duties, insurance, and market-specific compliance costs unless the selected delivery term includes them.

Standardize export packaging

Define units per inner pack, carton, and pallet. Record dimensions and weights for logistics calculations. Confirm label language, barcode, batch, expiry, and handling requirements. Custom packaging should have a separate minimum quantity, setup cost, approval process, and production timeline.

Promise a lead time you can meet

Calculate from confirmed payment and approved artwork through material purchasing, production, testing, packing, documents, and dispatch. Add reasonable contingency during peak periods. If a buyer requests an urgent order, explain which conditions must change instead of accepting an unrealistic deadline.

Put the terms into one sales sheet

Create a concise wholesale sheet for each product family and keep it aligned with the APH product pages. When buyers receive consistent information from your catalogue, profile, and quotation, negotiations become easier and mistakes are less likely.
