How to Respond to B2B Inquiries and Send Better Quotations

A B2B inquiry is valuable only when it becomes a clear next step. Slow replies, missing commercial terms, and generic catalogues make serious buyers look elsewhere. A simple response system helps an Armenian supplier qualify the opportunity, send accurate information, and move the discussion toward samples, a meeting, or an order.

Acknowledge quickly, then qualify

Confirm receipt even if the complete answer needs more time. Ask about the buyer’s company, country, sales channel, exact products, estimated volume, destination, desired date, packaging, and certification needs. Check the company website, business identity, and contact details before sharing sensitive prices, documents, or credit terms.

Answer the buyer’s actual request

Reference the requested products and explain which options fit. Do not send a large unrelated catalogue without guidance. If an item is unavailable or the requested quantity is below MOQ, offer a workable alternative and explain the commercial reason. Clear constraints build trust when they are communicated early.

Make the quotation unambiguous

Include supplier and buyer details, product code and description, quantity, unit price, currency, price basis or delivery term, packaging, MOQ, lead time, payment, quotation validity, sample terms, and what is excluded. Number and date every quotation so both parties discuss the same version.

Define the next action

End with a specific proposal: confirm quantities, choose packaging, schedule a call, pay for samples, or approve a pro forma invoice. State who will act and by when. Attach only relevant files and provide links to current APH company and product pages for background information.

Follow up and protect the process

Record the inquiry, source, value, stage, last contact, and next date. Follow up with useful information rather than repeated pressure. Be cautious about unusual payment instructions, urgent changes of bank details, overpayments, unknown agents, or requests for confidential documents. Verify important changes through a known channel.
